To ensure that your visit to the conference is as enjoyable as possible, here is a list of Frequently Asked Questions which will hopefully provide you with all the information you need.
We encourage you to read through this before you attend. Please contact us if you have a question that we haven’t answered.

During the Conference
What is the dress code for the conference?
Dress code is smart casual.
How do I gain entry to the Conference?
All delegates and exhibitors will be provided with a name badge, which will give you access to all sessions. Please ensure you always wear your name badge.
What time does the registration desk open?
Please refer to the latest conference program.
Where can I find a list of delegates who are attending the conference?
A delegate list will be emailed out to Partners/Sponsors 1 week after the conference. Printed delegate lists will not be available at the conference. If you had selected not to share your details when completing your registration form, your name will not appear on the list.
How will I know if there have been any changes to the program
Any changes to the Conference program will be announced during housekeeping notices each morning. You may also check with CASANZ staff at the Registration Desk.
I have special dietary requirements – will I be served the correct food?
If you have advised CASANZ of any special dietary requirements, the caterers at each function have been provided these. A special buffet table will be set during the day for special diets. If you are unsure, please see the staff at the Registration Desk.
Will there be internet available?
Free wireless internet access is available for the duration of the Conference. The password and login details will be available at the Registration Desk.
PLEASE NOTE: The internet is not to be used to view or download any illicit material, including movies, music etc.
Mobile Phones
As a courtesy to other delegates, please ensure that all mobile phones are turned off or in silent mode during all sessions.
Photographs, videos, recording of sessions
Delegates are not permitted to use any type of camera or recording device at any of the sessions unless written permission has been obtained from the CASANZ Office.
Is there security at the conference?
The members of the conference organising committee and CASANZ accept no liability for personal accident or loss or damage suffered by any participant, accompanying person, invited observer or any other person by whatever means. Nor do we accept liability for any equipment or software brought to the conference by delegates, speakers, sponsors or any other party.
Please protect your personal property. Do not leave laptops, cameras, and other valuable items unsecured. Be conscious of individuals who appear out of place and do not wear a conference name badge.
Speaker, Chairperson or Poster Presenter
I am a speaker, what should I do?
Please bring your PowerPoint presentation with you when you register. All presentations need to be 16:9 in ratio.
All presentations are to be made in person.
All speakers should present themselves to the Audio Visual Control Desk at least 3 hours prior to their scheduled presentation time, to upload their presentation.
Speakers are also requested to assemble in their session room 5 minutes before the commencement of the session if possible, to meet with their session chair and to familiarise themselves with the room and the audio-visual equipment. A technician will be present in the room at all times. There will be facilities to test and modify your presentation if required.
You can also check that your presentation is working correctly with the AV technician in the room.
I am a chairperson, what should I do?
If you are a chairperson, you will receive chairpersons’ guidelines when you register at the registration desk or via email prior to the event. If you have additional questions, please contact CASANZ.
I am a Poster Presenter, what should I do?
Bring your prepared poster with you, and be available during the poster session to discuss your poster with delegates. Full Poster presentation guidelines can be found here.
Registration
What is included in my registration?
Day Registrations – includes catering for morning tea, lunch and afternoon tea, entry to sessions on the day specified and name badge.
Full Conference Registrations – include catering for morning tea, lunch and afternoon tea and name badge as well as entry to the Welcome Reception and Gala Dinner.
I need to cancel my registration, what do I do?
Cancellations must be received in writing – mail or email – to CASANZ. Cancellations will not be deemed to be received until you have written confirmation from CASANZ.
If you have not received an acknowledgment within two business days, please contact CASANZ on (03) 9727 3911.
Should it be necessary to cancel your registration due to Government imposed travel restrictions, we will provide you with a full refund, minus any bank fees incurred. Evidence may be requested, and each situation will be considered on a case-by-case basis.
Refunds for any other reason will adhere to the following cancellation terms:
Cancellation Policy
- Cancellations on and before 90 days prior the event will incur a A$150.00 (ex GST) cancellation fee.
- Cancellations on or before 60 days prior to the event will incur a 50% cancellation fee.
- Cancellations on or after 30 days prior to the event will receive no refund.
How do I register?
Head to the online registration form to register, which will be open from 1 February, 2024.
The preferred method of registration is online, however if you experience issues with the online registration form, please contact us on +61 3 9727 3911.
How much are the registration/fees and what is included in the registration fees?

What is the late registration fee?
The late registration fee is charged for all registrations received within ten (10) working days to the start of the conference.
How do I confirm that I am successfully registered?
Once your registration is finalised, you will receive a confirmation email indicating that you are officially registered.
When do registrations close?
Registrations will be open until the end of the conference allowing you to register at your convenience.
Do I need to register for the concurrent sessions in advance?
Delegates are free to choose the concurrent sessions they would like to attend on the day, there is no need to register selections in advance.
Can registrations be shared? If I cannot attend, can a colleague attend in my place?
Registrations cannot be shared. If a delegate is unable to attend, they may send a substitute in their place. Substitutions can be made by notification via email to the Conference Organisers at: conference@casanz.org.au.
Which credit cards does the conference accept?
The conference accepts Mastercard and Visa only.
Can I request an invoice?
The online registration form requires full payment prior to the conference start. If you require a tax invoice, please select Pay On Invoice at the payment details or contact the Conference Organisers.
Can I register now and pay onsite or after the conference?
No, all payments must be received prior to the conference commencing.
How can I amend or cancel my registration?
All cancellations and amendments cannot be accepted over the telephone. Cancellations and amendments must be sent in writing either by mail or email to the Conference Organisers. All cancellations will be proceed in line with CASANZ 2024’s cancellation policy.
Do I need personal insurance?
Registration fees to not include insurance of any kind. Participants are advised to take out personal insurance, including cover for travel, accommodation and personal possessions.
Am I allowed to bring a guest?
No, everyone who attends CASANZ 2024 needs to be registered. Additional tickets to the Gala Dinner and Welcome Reception can be purchased.
Can I add a social function ticket to my registration?
This will be subject to availability at the time of the request.
Dietary and Special Requirements
Please note any dietary and special (for example mobility or sight) requirements when registering for the conference. All dietary and special requirements will be forwarded to the venue.
General Information
Currency
All prices are in Australian Dollars and exclude GST.
Certificate of Attendance
A certificate of attendance will be issues post-conference. After the post-conference survey is completed, the certificate of attendance will be emailed to each participating delegate.
Smoking
The conference and social functions are non-smoking.

CASANZ will gather and record information necessary for your attendance at the conference. Personal information will be gathered, stored and disseminated in accordance with the National Privacy Principles.
Any of the trademarks, service marks, collective marks, design rights or similar rights that are mentioned, used or cited in the documents, papers and articles remain the property of their respective owners. Their use in these documents does not imply that you may use them for any other purpose.
